Votematic: on-site cooperative election system for general assemblies

Votematic runs cooperative elections from setup to results. Election staff set up events, ballots, and voter lists, members confirm they're in good standing online, and voters cast their ballot at staffed voting stations with an assigned voter card.

The challenge

Cooperatives elect their officers at the general assembly, with members from several branches voting at one venue. Organizers need to confirm who is eligible, give each member one ballot with the right number of choices per position, and tally the results quickly and consistently across voting stations.

Our solution

Votematic has an admin console, a voting station app, and a member verification page. Staff create events, set up positions and candidates, import voter lists from Excel, and assign voter cards. At the assembly, members tap their card at a station, vote position by position within the limits, review their choices, and get a ballot receipt. Before the assembly, members check their good-standing status online.

Used by Cooperatives that elect officers at their general assembly: the election committee and administrators, voting station operators, and members who verify their eligibility and vote.

Features

What Votematic does

Voting station

A staffed voting station where members identify with a voter card and cast their ballot.

  • Voter identification by tapping an assigned card on a card reader
  • The station greets the voter by name before the ballot opens
  • Required and maximum votes enforced for each position
  • Review screen to change votes before submitting
  • Ballot receipt with a voting reference and number, laid out for printing
  • One ballot per member: a card that has voted shows its existing receipt

Events

Each election event and the details voters and members see.

  • Event name, venue, date, and organizer
  • Welcome remarks for the voting station and verification page
  • Voting end time, after which stations stop accepting cards
  • Venue map link for verified members

Ballots and candidates

The positions on the ballot and the candidates for each one.

  • Ballot positions per event with remarks and display order
  • Required, excess, and maximum vote counts
  • Candidate profiles with photo and description
  • Tallies updated as each vote is recorded

Voter registry

The list of eligible members for each event.

  • Bulk import from a downloadable Excel template
  • Row-by-row checks, such as invalid account numbers or duplicates
  • Fix or remove problem rows before import
  • Filter by event and card status, with export to Excel

Voter cards and help desk

Links voter cards to members and gives venue staff a lookup and support screen.

  • Card codes assigned by typing or swiping on a card reader
  • A card already assigned in the same event is rejected
  • Voter lookup by name for the active event
  • Reset a voter's session so they can continue at another station

Results dashboard

Vote tallies for each position of an event.

  • Column chart of candidate votes per position
  • Ranked list with candidate photos and vote counts
  • Hide candidate identities while showing vote counts
  • Print the chart and list views

Member verification

Members check that they're listed in good standing before the assembly.

  • Branch, account number, last name, and date of birth
  • Confirmation with the member's details and assembly date
  • Phone-friendly layout
  • Directs members to the membership office when not found

Staff accounts and roles

Who can use the admin console and voting stations.

  • Access roles that control the menus and actions each person sees
  • Staff accounts with employee ID, designation, and status
  • Sign in with email or employee ID, with password recovery
  • Record history on events, ballots, and voters

FAQ

Questions about Votematic

Is Votematic remote online voting or on-site voting?

On-site. Members vote at staffed voting stations at the general assembly venue, using an assigned voter card. Before the assembly, members can check online that they're listed in good standing.

How does a member vote?

The member taps their voter card on the station's card reader, sees their name to confirm it's them, votes position by position within the limits, reviews their choices, and submits.

Can a member vote more than once?

No. Each member gets one ballot. If a card that has already voted is tapped again, the station shows that member's existing receipt instead of a new ballot.

Can we set how many candidates members vote for in each position?

Yes. Each position has a required number of votes and a maximum, and the voting station enforces them.

Do voters get a receipt?

Yes. After submitting, the voter gets a ballot receipt with a voting reference and voting number, laid out for printing.

Can we import our list of voters from Excel?

Yes. Download the Excel template, fill in account numbers, names, birth dates, and branches, and Votematic checks every row before the import.

How does the election committee see the results?

The results dashboard shows a chart and a ranked list of votes for each position, and the committee can print both views.
